Dashboards & analytics

Enrollment funnel analytics, from each counselor to the whole institution

See how many inquiries sit at each stage, which channels turn into applications and how each counselor is tracking against target. Personal, team and organization dashboards read live from the lead records your staff work in.

  1. Organization Dashboard: channels and stage funnel
  2. Team Dashboard: each member's leads, apps and collection
  3. Status shows who is On Track, At Risk or Behind
  4. My Dashboard: my leads, collection and overdue today
  5. Hot Leads and Needs Attention show who to contact next

Three dashboard levels: counselor, team and institution.

A counselor opens their own numbers, a team lead opens the team, and the dean or VP of enrollment opens the organization view, combined across campuses at multi-campus universities. All three read the same lead records, so the figures match from one meeting to the next.

Personal: my leads, my targets, my day

Each counselor sees their leads, applications, conversion rate, pending and overdue follow-ups, progress against targets, recent activity and a trend of leads and follow-ups over the last 14 days.
  • Targets update as work is logged
  • Overdue follow-ups flagged in red
  • A 14-day trend of leads and follow-ups

Funnels and attribution

Know where applicants stall, and what brought them in.

Your stages, your funnel.

The lead stage funnel and the count of leads at each application stage follow the stages you configure. See how many applicants sit at each step, from started to documents verified to enrolled, and where the biggest drop is.
  • Lead stage funnel from inquiry to enrolled
  • Leads at each application stage
  • Paid and unpaid applications with collection

Channel & source performance

Put recruitment budget behind the channels that produce applications.

Each inquiry keeps the source and campaign it arrived with, plus UTM values from web forms. The channel table shows leads and applications for each one, so a paid search campaign and a college fair are measured the same way.
  • Leads and applications per channel
  • Offline campaign tags for fairs and events
  • UTM capture on website forms

Organization dashboard

What the organization dashboard shows.

Nine widgets, live from lead records. For questions the widgets don't answer, such as this cycle against last cycle, export the data.

Lead stage funnel

Inquiries at each of your stages, from first contact to enrolled, and the stage where applicants stall.

Application funnel

Applications by stage, from started to enrolled, using the application stages you configure.

Channel & source performance

Leads and applications by channel and source, so a search campaign and a college fair compare on equal terms.

Trends

Lead and application trends over a fixed recent period. The dashboard has no date-range selector.

Top cities

Where inquiries come from, to plan recruitment travel, high school visits and fairs.

Devices

The share of inquiries from mobile, desktop and tablet, so your web team knows where applicants fill in forms.

Applications by form

Applications counted by the form that captured them, such as an open house or program inquiry form.

Collections

Application fees and deposits your team records against leads, totaled over time.

Scoreboard

Organization totals, such as leads, applications and collections. It summarizes the institution and doesn't rank counselors.

How the numbers work

  • Live from the lead records counselors work in
  • Three levels: personal, team and organization
  • Organization trends cover a fixed recent period, with no date-range selector
  • Personal trends cover the last 14 days
  • The organization view combines all campuses; staff switch campus in the app
  • Custom analysis runs on XLSX or CSV exports, taken whenever you need them; there's no report builder or scheduled report email

Staff activity analytics and operational logs.

Reports show how staff use the CRM and what the automation did, which is what an operations lead or an IT reviewer asks for once the CRM is live.

  • Staff activity & journey analyticsSessions, peak hours, a 30-day trend, top pages, actions and users, security events and inactive accounts across the institution.
  • Automation logsWhat each workflow and conversation automation did, for the operations lead who owns them.
  • Notification analyticsA record of the staff notifications sent and who received them.
  • Integration logsActivity from connected channels and the API, for your IT team to troubleshoot.
  • Feedback reportsFeedback recorded in the CRM, collected in a single report.

FAQ

Admissions reporting questions

What do the personal, team and organization dashboards show?

Personal: one counselor's leads, applications, conversion, pending and overdue follow-ups, targets, a 14-day trend of leads and follow-ups, and recent activity. Team: each member's leads, applications, collections, conversion and pending or overdue work, marked on track, at risk or behind, with workload and status distribution. Organization: lead and application funnels, trends, top cities, devices, channel and source performance, applications by form, collections and a scoreboard of organization totals.

Can we pick a date range, or compare this cycle with last cycle?

Not on the dashboards. Organization trends cover a fixed recent period and personal trends cover 14 days, with no date-range selector. For cycle-over-cycle, program or campus comparisons, export leads as XLSX or CSV and analyze them in the tools your institutional research office already uses.

How do dashboards work across several campuses?

The organization dashboard shows the combined picture for the institution. Staff switch to a campus in the app to see its own numbers. For a side-by-side comparison of campuses, use an export.

How do we build reports for the provost's office or the board?

From exports. Export leads from the lead list as XLSX or CSV whenever you need them; large exports run in the background and past files stay in the export history. There's no custom report builder and no scheduled report email, so board and provost packs are assembled from those files.

Can we see which channels produce applications, as well as inquiries?

Yes. The channel performance table puts leads and applications side by side for each channel and source, using the source and campaign saved when each inquiry arrived. Offline campaign tags, such as a particular college fair, report the same way.

Will the funnels match our admissions stages?

Yes. The lead stage funnel follows the lead stages you configure, and a separate chart counts leads at each of your application stages, in your order and colors, so a graduate program with an interview stage sees that stage. The application funnel tracks leads through to paid and unpaid applications and collection.

What counts toward collections?

Payments your team records against leads, such as application fees and enrollment deposits. Collections sit next to leads and applications on the organization dashboard.

Who can open which dashboards?

Access follows role permissions. You decide which roles open team and organization dashboards and reports, so a counselor sees their own performance while the dean of admissions sees the institution.
