CRM for colleges and universities, one campus or many

A community college with one admissions office and a university with several schools and campuses face the same question: who owns this applicant, and what happens next? higheredcrm.ai answers it with assignment rules, workflows you can read, roles set page by page and dashboards built from the records your counselors work in.

Covers community, technical and liberal arts colleges, and public and private universities, on one campus or many.

What a college CRM has to fix

Programs, entry terms and offices multiply faster than a shared inbox or a spreadsheet can keep up with.

  • Routine steps depend on memory

Welcome messages, document reminders and callbacks happen when someone remembers them, so two applicants to one program get different treatment.

  • Inquiries land with the wrong office

A continuing-education question reaches the degree team, or a campus that doesn't offer the program, and waits there.

  • Departments count in different ways

Each office tracks inquiries its own way, so leadership can't compare conversion across programs or campuses.

  • Process changes nobody signed off

When anyone can quietly edit a process, nobody can say which version ran for last cycle's applicants.

How control works

Admissions processes written down as workflows

Build the routine once in the visual workflow builder: assign a counselor, send the first message, wait, check for a reply and create a follow-up. The builder checks every workflow before it saves.

  1. The campus you're working in

Settings open under the organization and campus named at the top. Staff with access to several campuses switch between them.

  2. An owner on arrival

The first step assigns a named counselor. Assignment rules can do the same by round robin, workload, source or region, within capacity limits.

  3. Branches on real replies

Conditions test lead fields such as source or stage, and whether the applicant replied on WhatsApp, so silence becomes a follow-up for a person.

  4. Checked before it saves

Live validation flags loops, unreachable steps and empty branches. Errors block saving, warnings save as a draft, and edits are recorded in the audit log.

One campus or many

A university CRM that keeps every campus on one set of rules

Multi-campus universities need local ownership without separate systems. In higheredcrm.ai, the account is an organization with campuses beneath it, and every campus uses the same stages, fields and reports.

  1. The organization

Your institution sits at the top. Roles, stages, custom fields and the organization dashboard live here, so every campus counts the same way.

  2. Campuses

Each campus, school or online division sits beneath it with its own logo. Staff who work across several switch between them.

  3. Teams

Undergraduate, graduate and international offices become teams with their own counselors, targets and dashboard, under one set of rules.

  • Zone rules route inquiries by country, state or city to the campus team that covers them
  • Capacity limits skip counselors who are full, so nobody's caseload quietly doubles
  • Roles decide which pages and actions each campus team can use, including export
  • The organization dashboard combines every campus; switch campus to see one at a time

Programs with an interview step and programs without one can share one path: add the interview as an application stage and record the program in a custom field. Workflows assign each program's named counselor, and leadership still reads one funnel from inquiry to enrollment. Your IT team reviews single sign-on, MFA and audit logs once for the whole institution. See roles, security and campuses for the detail.

Every stage from first inquiry to enrolled student

Colleges and universities buy a CRM to stop losing applicants between offices and systems. Each stage below works on the same lead record, so the counselor, the program director and the dean read one history.

  1. Marketing

Email, SMS and WhatsApp campaigns to segments you build, with A/B variants and campaign analytics.

    Campaigns (Marketing stage)
  2. Lead generation

Website forms, website chat, WhatsApp, Messenger, imports and the API create inquiries with their source attached.

    Lead capture (Lead generation stage)
  3. Lead management

Stages, rule-based scoring with a reason for every score, and assignment rules that give each inquiry an owner.

    Lead management (Lead management stage)
  4. Counseling

A daily task panel, one inbox for WhatsApp and Messenger, and calls from the browser, all logged on the lead.

    Counselor workspace (Counseling stage)
  5. Application

Application stages, a document locker with verification status and fees recorded on each applicant's record.

    Applications (Application stage)
  6. Admission

Decisions recorded as stages, with workflows that send the next message or create a follow-up when one changes.

    Workflow automation (Admission stage)
  7. Enrollment

Deposits recorded and enrollment as the final stage, so the funnel ends with students, not inquiries.

From admitted to enrolled (Enrollment stage)
  8. Analytics

Personal, team and organization dashboards: lead and application funnels, channels, targets and collection.

    Dashboards (Analytics stage)

That journey is what a higher education CRM should cover. Start with the stage that costs you most today: slow first replies, inquiries nobody owns, documents chased by email, or a funnel your cabinet can't see. Graduate and international offices on the same campus can use the graduate, international and online setup alongside yours.

Is it a fit for your college or university?

What suits the platform today, and what to check with your registrar and IT teams before you shortlist it.

A good fit when you need

  • One set of stages and rules across programs, departments or campuses, from a single site to many
  • Routing by program through workflows, and by country, state or city through zone rules
  • Staff sign-in through an OpenID Connect identity provider, with MFA optional or mandatory
  • Application stages, documents and recorded fees on each applicant, up to enrollment

Check these before you shortlist us

  • There is no packaged SIS connector.

The REST API creates and reads leads, inbound webhooks start workflows, and CSV or Excel files move records in bulk.

  • Single sign-on is OpenID Connect only; SAML isn't supported.

If your identity provider offers OpenID Connect, staff sign in through it, with MFA from an authenticator app.

  • There is no application form builder or applicant portal.

Keep your current application form; send records in through web forms or the API and track stages, documents and payments on the lead.

FAQ

College and university CRM questions

Does it suit a single-campus college as well as a multi-campus university?

Yes. A single campus runs as one organization, with a team for each office. A university adds campuses beneath the organization, each with its own logo, and the organization dashboard combines them.

Can each school or program keep its own stages?

Lead and application stages are configurable, with your own names, colors and display order. A common setup keeps one shared path and adds a custom field for program, so reports stay comparable across schools.

How does an inquiry for one program reach that program's counselor?

A workflow condition on your program field assigns the program's named counselor. Zone rules can route by country, state or city, hard capacity limits skip counselors who are full, and a fallback strategy catches the rest.

Can department staff work on applicants without exporting them?

Yes. Custom roles set view, create, edit, delete and export permissions page by page, and roles you choose see contact details masked while they can still call and write.

How long does it take to move from spreadsheets?

Records come across through the import template: up to 50,000 rows per file, with duplicates by email or phone skipped and reported. Stages, roles and assignment rules are set in the settings screens without code.

Where does the registrar's system take over?

higheredcrm.ai covers inquiry to enrollment. Enrolled students live in your student information system, and records move there through an Excel or CSV export or the REST API.
