What the tour covers, step by step
The same ten steps as the interactive tour, in one list. Open any step in the tour, or go straight to the product page behind it.
Step 1: Capture
An inquiry arrives, with its source attached
Website forms, the chat widget, WhatsApp and Facebook Messenger create inquiries automatically. Each one lands in the leads list with its source and campaign, ready to filter, bulk edit or export.
On screen
- Call or WhatsApp from the row
- Source recorded on every inquiry
- Import a CSV or Excel file, or add a lead by hand
Step 2: Route
Assigned to the right counselor as it lands
Choose round robin, weighted, load-balanced, source-based or zone-based assignment, or keep it manual. Set weights and capacity limits per counselor, with a fallback strategy when no rule matches.
On screen
- Auto-assignment on for new inquiries
- Pick an assignment strategy
- Weights and capacity per counselor
Step 3: Engage
The chatbot replies on WhatsApp, then hands over
Two-way WhatsApp and Messenger chats share one inbox with team and status filters, next to the email and SMS you send. A flow-based chatbot answers first with an option menu and hands the conversation to a counselor when a person is needed. You build the flow visually and test it in a preview before publishing.
On screen
- WhatsApp chats, plus email and SMS you send
- The chatbot is handling this chat
- An option menu answers the first message
- Each option branches the flow
- Hand the chat to a counselor
- Test the flow in the preview
Step 4: Automate
Follow-up that runs on its own
Start a workflow when an inquiry is created, a stage changes, a form is submitted or a message arrives. Add waits and conditions, send WhatsApp, email or SMS, assign a counselor, change the stage or create a follow-up. Each workflow's run history shows what started every run and the result of each step.
On screen
- Triggered when an inquiry is created
- Branch by source: WhatsApp or email
- No WhatsApp reply? Create a follow-up
Step 5: Counsel
A counselor's day, with targets in view
Each counselor sees today's tasks, overdue follow-ups, recent activity and progress against daily targets for calls, leads, applications, emails, SMS, WhatsApp and meetings. Managers set targets for individuals and teams.
On screen
- Daily targets, including WhatsApp
- Today's follow-ups
- Overdue follow-ups called out
Step 6: Call
Call from the browser, keep the recording
Click to call from any lead. The browser softphone has mute, keypad and hang up. Inbound and missed calls, recordings and call logs are saved on the lead, and transcripts are available with a supported telephony provider.
On screen
- Mute, keypad and hang up
- Recordings saved on the lead
- Transcript with a supported provider
Step 7: Nurture
Reach a segment on email, SMS or WhatsApp
Build dynamic segments from rules on stage, source, campaign, score or activity, or freeze a static list. Then send a campaign with scheduling, send windows and A/B variants for email and SMS, and track delivery, opens and clicks.
On screen
- Dynamic or static audience
- Rules on stage, campaign and activity
- Live count of matching leads
- Delivery, opens and clicks
- Engagement funnel
- Schedule and send window
Step 8: Measure
See the funnel and which channels work
The organization dashboard shows the lead stage funnel, the application funnel, channel and source performance, trends and a scoreboard of organization totals. Personal and team dashboards give each person their own numbers.
On screen
- Leads by channel
- Applications by channel
- Lead stage funnel
Step 9: Control
Control who sees and does what
Create custom roles or start from templates, then set view, create, edit, delete and export permissions page by page. Mask phone numbers and emails by role, require multi-factor authentication, sign in with OpenID Connect single sign-on and review audit logs.
On screen
- Import role templates
- Custom roles with their users
- Turn a role on or off, copy or edit it
- Actions allowed on each page
- Mask phone numbers and emails
Step 10: Assist
Ask the AI Assistant who needs attention
Ask "What should I do today?" for a daily briefing, or ask about your leads in your own language. Answers show lead cards with shortcuts that open the record, the follow-up form or the email composer, and you complete every action yourself. Built on Anthropic's Claude.
On screen
- Opens as a drawer over the page you're on
- Ask in plain language
- Lead cards with View, Follow-up and Email shortcuts
FAQ
About the product tour
Are these the real product screens?
They are recreated product screens with fictional sample data. Layouts and features follow the product; colors follow our brand. The institution, names, numbers and messages are invented.
How is the product tour different from a live demo?
The tour follows one inquiry through ten steps at your own pace. A demo is a conversation with our team, set up around your programs, channels and admissions stages, with time for your questions.
What does the tour cover?
Lead capture, counselor assignment, the WhatsApp inbox and chatbot builder, workflow automation, counselor targets, browser calling, segments and campaigns, dashboards, roles and permissions, and the AI Assistant.
Are there features that aren't in the tour?
Yes. The tour skips areas such as application stages and the document locker, custom fields, rule-based lead scoring, the email designer, multi-campus setup and the REST API. Each product page covers them, and we can show any of them in a demo.
Can I link a colleague to a specific step?
Yes. The address updates as you move through the tour, so you can copy it from your browser at any step. Links such as /product/tour?step=4 open the tour on that step.
Ready to see it with your own programs?
Book a demo and we'll run the same ten steps with your programs and stages. Or start your pilot: free for the first 12 months, your whole team included.
